If you want to import a list of project from your PPM solution or from  the spreadsheets you've been using, you can do that as follows:


1. Log in to your Portfolio Kanban or Project Investment Management / Project Prioritization application


2. Click on the "Import" button in one of these locations. The first option is to click on the "hamburger" (three horizontal lines) on the first box of your portfolio dashboard.


The second is from the Kanban view - simply select "import".


 


3. Click on the "From Spreadsheet" tab then choose the file you'd like to import. In this tutorial, we'll work with the file that you downloaded before starting the tutorial. If are not automatically taken to the next screen, click the "Next" button.

NOTE: Your spreadsheet must follow this format:


4. The next step is to match up the columns in your spreadsheet with the Attributes in your model. If you already created your Attributes, simply select the name of the Attribute from the drop down list. If you have not already created your Attributes (as in this tutorial) you can do so now. Simply hit the "Create attribute" button for each column in the spreadsheet you wish to import (or select "Do not import" from the drop-down if you don't want to import a particular field).


Let's start with creating a Social Impact Attribute. Click on "Create attribute"



Fill in the form. For more information on how to create attributes, see this tutorial


Now let's do the same for Economic Impact.


 

Then fill in the form.


Let's move on to reach. This Attribute is a little different. If you look at the spreadsheet, you'll notice this has just the pre-defined values of "Low" and "High". We will, therefore, have to select "Pick from a list" when creating our Attribute and then define those levels.



NOTE: It's important, when you have pre-defined values, to make sure that the levels in your Attribute match exactly with the levels in your spreadsheet. Any discrepancy will results in an error.


Now let's move on to the final Attribute, cost. You should be getting the hang of this by now...




5. Now you're ready to review your data before completing the import. Click on "Preview".


Review your data. You can click on any field to correct the data and any errors will be highlighted. Once you're happy with your data, hit "Import".



This will import your data and then take you back to the Project Dashboard. Notice that the Alternatives item at the top of the screen has now turned green to show that you have some alternatives. Let's go and see what we've managed to import - click on "Manage" under Alternatives.
